Quotation  (Sales -> Quotation)

This option enables you to enter quotation to customer.



  • Customer : Click on the arrow down button to set the supplier code and the supplier name will appear automatically on screen
  • Address : The address will appear automatically once selected the supplier.
  • Date : Specify the date it was created, if available.
  • Reference : The current sales quotation number and is generate automatically. You can either present or reset another new number.
  • Attention: The attention will appear automatically once selected the supplier.
  • Credit Terms : Billing method as maintained in supplier file.
  • Agent: Select the agent if applicable.
  • Project: To select which project or department is belongs to this purchase invoice.
  • Product : Click on the dropdown list to type or click on the product code.
  • Description : The system will auto generate / display the product’s description
  • Location : Click on the dropdown list to type or click on the location (Where the product to be place.) (Default location to be HQ)
  • Click the “New line” button that you can continuously key in for next product.

Save the Bill

  • Save - Save this document and you will switch back to main / header screen.
  • Save As Draft – Save this document temporary and you still able to modify later. Save and add another – Save this document and you can add a new sales quotation continuously.
  • Print Button – Save this document and you will be able to preview this document, print out this document, convert this document to excel or convert this document to pdf.

Sales Order  (Sales -> Sales Order)

This option enables you to enter Sales Order to customer.


Method 1 : 

Use ‘Generate’ button to convert Quotation to Sales Order, and select respective customer name.


① Select Customer Code.

② Select Sales Quotation.

③ Modify the quantity.

④ Click Ok.

  




Once confirmed, can click save transaction.


Method 2 : 

If the Sales Order receive without any Quotation, you may follow method 2.


Click add button.




Delivery Order  (Sales -> Delivery Order)

This option enables you to enter Goods Delivered to your customer.



Method 1 : 

Use ‘Generate’ button to convert Quotation / Sales Order to Delivery Order, and select respective customer name.



① Select Customer Code.

② Select Sales Order.

③ Modify the quantity.

④ Click Ok.


Choose the bill no that you would like to convert into Delivery Order (Tick on the box) and key in the quantity you received.



Method 2 : 

If the Delivery Order receive without any Sales Order / Quotation, you may follow method 2.


Click add button.



Invoice  (Sales -> Invoice)

This option enables you to enter the goods sold to customer on credit.


Method 1 : 

Use ‘Generate’ button to convert Quotation / Sales Order / Delivery Order to Sales Invoice, and select respective customer name.



① Select Customer Code.

② Select Sales Quotation.

③ Modify the quantity.

④ Click Ok.


Method 2 : 

If the Delivery Order receive without any Quotation / Sales Order / Delivery Order, you may follow method 2.




Cash Sales  (Sales -> Cash Sales)

This option enables you to enter Cash Sales to customer.


Method 1 : 

Use ‘Generate’ button to convert Quotation / Sales Order / Delivery Order to Sales Invoice, and select respective customer name.



① Select Customer Code.

② Select Sales Order.

③ Modify the quantity.

④ Click Ok.


In the payment, click to change the payment mode.



In this payment, you can fill in to different payment mode and amount.

EG: Total amount RM 10,000.00

Customer paid by cash RM 5,000.00, fund transfer RM 5,000.00


Method 2 : 

If the Delivery Order receive without any Quotation / Sales Order / Delivery Order, you may follow method 2.



Debit Note  (Sales -> Debit Note)

This option only used for entering those goods that we undercharged your customer.



Credit Note  (Sales -> Credit Note)

This option enables you to enter Credit Note to customer.


Use ‘Generate’ button to convert Sales Invoice to Credit Note, and select respective customer name.

Choose the bill no that you would like to convert into Credit Note (Tick on the box) and key in customer returned quantity.



① Select Customer Code.

② Select Sales Invoice.

③ Modify the quantity.

④ Click Ok.


Delivery Return  (Sales -> Delivery Return)

This option is only used for entering those goods delivered to customer and return from customer but havent billing.


Use ‘Generate’ button to convert Delivery Order to Delivery Return, and select respective customer name.


① Select Customer Code.

② Select Delivery Order.

③ Modify the quantity.

④ Click Ok.


Write Off Sales Order  (Sales -> Write Off Sales Order)

This is for user to write off the quantity of an item in sales order.


Click in “Edit” button.



Receive Payment  (Sales -> Receive Payment)

This is for user to do receive payment from customer.



 Select your customer and transaction to make receive payment record.    



Print Bills (Sales -> Print Bills)

The print bill menu allows user to either view or (and) print all type of bills that being generated previously under the transaction menu.


The following options enables user to print more than one bills of each type.

  • Quotation
  • Sales Order
  • Delivery Order 
  • Invoice
  • Cash Sales
  • Debit Note
  • Credit Note


There is the “Print Multiple” button in every above module.



Sales Report  (Sales -> Report –> Customer)

 

These are various sales reports breakdown by Invoice, Cash Sales, Debit Note and Credit Note, and breakdown by month.

  • Outstanding SO Report

Use this option to check on the outstanding Sales Orders that have not delivered to your customer. This report shows the status of item ordered, goods that have delivered and outstanding items in quantity.

User can check the outstanding Sales Order details that have not delivered to your customer. This report shows the status of item ordered, goods that have delivered and the outstanding quantity.


Sales Report  (Sales -> Report –> Other)

  • Quotation Analysis

Use this report to view customer pending, confirm and closed quotation statistics and status.
